This is an exciting opportunity for an aspiring Business Administrator to join a highly successful new build construction and building maintenance organization. This apprenticeship will give you the opportunity to build your knowledge and skills within Administration in a fun and friendly family run business.

From the first point of contact Vale strive to build excellent rapport and ongoing working relationships with their prestigious client base through the provision of carrying out all types of Building Construction including: Major or Minor Refurbishments, New Build and Major Extensions. There is no one particular sector we are involved in as we do work for the commercial, council’s and private sectors.

Duties will include:

  • Interact with clients, vendors and visitors.
  • Answer telephones and transfer to appropriate staff member.
  • Open, sort and distribute incoming correspondence, including faxes and email.
  • Sign for and distribute UPS/FedEx or similarly delivered packages.
  • Prepare responses to correspondence containing routine enquiries.
  • Perform general clerical duties to include, scanning, copying, faxing, mailing and filing.
  • File and retrieve organizational documents, records and reports.
  • Maintain the photocopier i.e.: checking daily that paper trays are full and giving readings to Apogee when required.
  • Send enquiries out for tenders, and then contact subcontractors to make sure they are sending a quote and can meet the deadline. 
  • Liaising with the relevant Quantity Surveyors (QS) when /  If subcontractors are not quoting
  • Look for new and suitable sub-contractors on the Yell and the wider web in the Hampshire and Sussex areas then contact them to ask if they would like to be added to our subcontractors list for enquiries.
  • Keep the sub-contractor database updated with telephone numbers and emails of new subcontractors.
  • Send new drawings to site managers and keep a drawing register for each contract on the system.
  • Keep job and tender lists up to date.  Check with Surveying on a Friday to see what new tenders have come in and find out what contracts have been won.
  • Matching delivery notes to invoices on a weekly basis.
  • Ad hoc duties as and when required.


Other information

  •  Some flexibility on start / finish time if necessary


Skills required:

  • Good level of spoken and written English
  • IT literate especially within MS Office

  • Enthusiastic
  • Willingness to learn and progress through the programme
  • Friendly with a good sense of humour


Qualifications required

  • Preferred GCSE or equivalent in English, Maths, and IT grade A* - C (5 – 9)
