Duties will include:

Douglas Stafford Ltd is looking for a confident, motivated and professionally-minded individual to join our head office team, based in North Harbour Portsmouth, as an Apprentice Field Operations Administrator.  This role involves supporting the team with any administrative tasks.

The work will include:

To manage the team of Mystery Shoppers to maximise the number of shops completed each month. This will involve:

  • Building a strong working relationship with each Mystery Shopper.
  • Ensure all Mystery Shoppers have scheduled their visits within 2 days (MS KPI).
  • Ensure all visits are completed on their schedule dates by the Mystery Shoppers.
  • Ensure all visit reports are submitted by the Mystery Shoppers within 24hrs of the visit taking place (MS KPI).
  • Ensure all Mystery Shoppers submit their footage to the head office within 4 days of the visit taking place.  

To support the Field Operations Team with any administration tasks:

  • Scanning mystery shop invoices and ensuring fees are correct.
  • Help maintain Mystery Shopper data base and ensure all details are up to date.
  • Make contact with Mystery Shopper applicants and pass their details to the relevant recruitment managers.
  • Assist in the recruitment of Mystery shoppers for specialist projects.
  • Any other tasks or requests as and when required.

During peaks and troughs you may be required to work in other departments. Full training will be provided.

Key Performance Indicators:

  • Ensure mystery shop invoices are scanned by 09:30am each day.
  • Manage the Mystery Shoppers to ensure that:
    • All data/footage is received within 4 days of the shop completion
    • Report data is entered online within 24 hours
  • Liaise with the Mystery Shoppers to provide feedback, handle redos and queries arising

Team members who you will be mostly working with:

  • Video Editing Department
  • Contact Centre Department                   
  • Account Managers

Other information

  • This position would suit an individual who has a keen interest in business administration
  • Full on the job training will be given with the opportunity for further academic/external training for the suitable candidate.

Skills required:

  • Knowledge of Microsoft Office an advantage, ideally Power point experience
  • Must have excellent I.T skills and the confidence to take on and use new systems
  • Very high attention to detail
  • Keyboard skills
  • Able to communicate effectively
  • Able to follow and carry out simple instructions
  • Able to interact well with people and work as part of a team
  • Able to work under pressure and to agreed timescales

 Qualifications required

  • GCSE English Grade A - C or equivalent
  • GCSE Maths Grade A - C or equivalent
  • GCSE ICT Grade A - C or equivalent
