Working in a small team of people you will be responsible for a varied work load which includes essential tasks such as franking of mail, administration of the PETA membership through to involvement in event administration and aspects of marketing.

Duties will include:

  • Provides a membership administration service ensuring all information is accurate, maintained, in line with the membership rules and ensures information is prepared timely for meetings
  • Updates the CRMS (Customer Relationship Management System) ensuring all client company data is checked, verified and of the quality and accuracy required
  • Raises and administers all purchase orders and maintains associated registers and files
  • Provides administrative support in relation to events which includes the following:
    • booking arrangements for facilities, catering and guests/speakers
    • raising purchase orders
    • sending invitations and managing bookings/responses and make follow-up calls as required
    • creation of events summary/outcome and completion activities
  • Undertakes administration of the PETA website ensuring all information is quality checked, accurate and professional
  • Produces and administers mailshots and e-mailshots and materials in support of the marketing activities as required, including the updating of in-centre displays
  • Maintain the appearance and replenishes the stock cupboard on a monthly basis.  This is to include re-order requirements, purchasing of stock (company-wide), recording of deliveries and monitoring of stock levels
  • Promote and uphold the Company’s commitment, philosophy and policies for Employer Responsiveness, Continuous Improvement, Investor in People, Health and Safety, Safeguarding, Equality and Diversity and other related processes, procedures and working instructions and methods of working incorporated in the organisation’s Integrated Management System (IMS)

 Other Tasks:

  • Provide support on specific Departmental projects as directed by the Company Standards and Systems Senior Manager
  • Attend and record the minutes of regular Departmental Meetings and undertake various tasks to be carried out with regard to administration as a result of the meetings
  • Support all members of the department as and when required with general typing, filing, secretarial and clerical duties
  • Updating and distribution of information as directed by the Company Standards and Systems Senior Manager
  • Undertake the daily franking of general mail in preparation for collection by the mail service

  Other information:

  • There is a staff car park/bicycle area on-site, with some on road parking also available
  • Accessible from all forms of transport, however there is a 15 minute walk from Cosham to the Conference Centre

Skills required:

Desired skills:

  • Good communicator who is confident with speaking with people face to face or over the telephone
  • Good, fast and accurate, typing skills
  • Eye for detail and strong on quality, accuracy and professionalism
  • Can demonstrate a good work ethic
  • Good, demonstrable, experience of Microsoft Office
  • Experience of Adobe Creative suite or equivalent would be good

 Personal qualities:

  • Enjoys working with a range of people at different levels
  • Demonstrates a strong desire to provide excellent customer service
  • Friendly, conscientious and trustworthy
  • Keen to develop in role and take responsibility

 Qualifications required:

  • Minimum of GCSE Grade C or equivalent in English and Maths
  • RSA typing qualification or equivalent would be ideal
