This is an excellent opportunity for an Occupancy Administrator Apprentice to work with all levels of staff from general work force to senior management, supporting the street works, highway maintenance, abnormal load processing, highways licencing, compliance, scheduling and works coordination. There will be future progression available upon completion of the apprenticeship with the opportunity to work closely with other teams.

The Occupancy Administrator Apprentice will be responsible for receiving and making phone calls, meeting attendance & minute taking, using the live systems, and contributing to the production of reports for internal and external uses. Other duties will include:
Assisting the supervisors with raising applicable permits and traffic management in response to highway defects
Ensuring there is efficient and timely responses to defects before their timed expiry
Supporting and assist issuing the weekly works programme and monthly client reporting ensuring spreadsheets are updated and readily available within the evidence folders for scoring as part of the performance framework.
Learning and supporting the ordering of materials, understanding quantities, invoicing and efficiency practices
Assisting the Network Coordinator and Permit Team with processing, issuing and monitoring street works permits including issuing penalties and invoicing fees
Supporting the processing and installation of dropped kerb driveways and line painting installations including raising the works orders and auditing the completed works
Assisting and processing of road excavation/apparatus placement licences (S50 Road Opening)
Assisting in issuing of warning letters to residents, undertaking land searches, recording the letters dispatched and ensure follow up letters are issued
Abnormal load notification handling, receiving Abnormal load notifications responding to the hauliers liaising with the network coordinator, asset and the client on routes within the city, and recording all enquiries received.
Maintaining and issuing the duty officer and call out rota, ensuring accuracy and when alterations are required they are promptly undertaken and the rota cascaded.
Monitoring and controlling the general inbox’s, monitoring public enquiries (CHAINs)
Assisting with the road closure administration (TTRO / Network Bookings) including calculation sheet and associated invoicing
The ideal Occupancy Administrator Apprentice will have good written and verbal communication skills. They will also have strong computer skills as well as:
An ability to produce accurate, high quality work to tight deadlines
Good organisation skills
A keen eye for detail
A polite telephone manner
It is desirable for applicants to have:
Knowledge of the Portsmouth Area would be a great advantage
Good problem solving / analytical thinking
Commercial & financial awareness
GCSE Maths and English at grade A*-C / 4-9 or Level 2 Functional Skills

This position is offered as an apprenticeship and you will be completing a Level 3 Business Administration qualification. You will be employed directly by the client but be support every step of the way by PETA.
The majority of your training will be completed with your employer at your place of however, throughout the duration of the apprenticeship you will be required to attend one of our PETA training centres for off the job training.
