This is a fantastic opportunity for an Administrator Apprentice to assist with the smooth running of the administrative team and Practice as a whole. Other duties will include assisting with the smooth running of the computer systems and troubleshooting when required. It is important that the Administrator Apprentice responds to the need to prioritise accordingly and understands the need for strict confidentiality.

In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters.   They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.

In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers.  They may also have access to information relating to the practice as a business organisation.  All such information from any source is to be regarded as strictly confidential

Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Policy, to include:

  • Using personal security systems within the workplace according to practice guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Reporting potential risks identified.
  • Demonstrate due regard for safeguarding and promoting the welfare of children and vulnerable adults.

Duties

  • Medical records
  • Filing
  • New patients and Patient Deduction processes
  • Photocopying of medical records
  • Scanning and coding of clinical letters, results and other patient data
  • Open and distribute post
  • Assist with stationary deliveries
  • Be part of a staff rota for delivering post to the post office
  • Answering and making telephone calls
  • Deal with re-directing post
  • Be prepared to attend training courses, which may be off site
  • Attend and take an active part in staff meetings
  • Attend apprenticeship training as directed
  • Adhere to uniform and badge name policy
  • General office junior tasks as directed by the Administration Manager
  • IT responsibilities as required

Our practice is set in a beautiful semi-rural location and is a purpose-built dispensing Practice. We are a stable but ambitious Practice and have a team of 9 GPs, 3 urgent care / visiting nurses, 5 Practice nurses and a host of supporting staff and managers. Wickham Surgery is committed to providing staff with training and development opportunities.

  • Confident speaking on the telephone
  • Polite telephone manner
  • Able to communicate effectively with other team members, patients and carers
  • Able to recognise people’s needs for alternative methods of communication and respond accordingly
  • Enthusiastic, caring and hardworking nature
  • Strong ICT skills including use of MS Word, Excel and Outlook
Personal qualities
  • Willingness to participate in an annual individual performance reviews and personal development / training
Qualifications required
  • GCSEs in maths and English with at least a grade C / 4 are required.

Future prospects

There is the potential for a full time role to be offered to the successful and suitable applicant upon completion of the apprenticeship. Wickham Surgery have previous apprenticeship success with apprentices moving into permanent roles.

Training to be provided

Training to be provided: Level 3 Business Administrator Apprenticeship Standard. You will complete a 15 month apprenticeship which includes 10 days at the PETA training centre in Cosham. You will be supported every 6 weeks with visits from your PETA Learning & Development Coach.
