A fabulous position based in St Lukes Surgery in Hedge End. This reception position is perfect for someone looking to work in a customer facing position, with an interest in working with people. This is a vital role within the surgery, providing assistance to patients in a professional manner.

The surgery has recently merged with The Living Well Partnership and is one of a group of local surgeries. They are a good employer of apprentices, supporting them through their programmes in a caring environment.

Duties will include:

Overall aim

  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way across all sites.
  • Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Key Responsibilities

  • Administration
    • To have a thorough knowledge of all Practice procedures
    • To work in accordance to written protocols
    • Fax and photocopy as requested
  • Reception
    • Receiving patients consulting with members of the Practice team
    • Handing completed repeat prescriptions to patient and checking names and address
    • Be able to cover all reception positions as necessary 
  • Appointments
    • Process appointment requests for today future appointments from patients by telephone and in person
    • Deal with visits requests 
  • Computer
    • Registrations of new patients – computer data entry and medical records
    • Process patients change of address – computer data and medical records (have knowledge of Practice area)
    • Process repeat prescription request in accordance with Practice guidelines
  • Telephone
    • Have working knowledge of telephone / bleep system, during and after hours
  • Other tasks
    • Ensure building security – have thorough knowledge of doors / windows / alarm
    • Make coffee for doctors
  • Any other tasks allocated by managers



Other information:

  • During this 13 month apprenticeship, you will work towards a Customer Service Practitioner Apprenticeship Standard at Level 2
  • There may be the need to cover other surgeries within the group at times
  • The apprentice will have an excellent understanding of confidentiality
  • The apprentice will participate in any training programme implemented by the Practice team as part of this employment
  • The apprentice will assist in promoting and maintaining their own and others health and safety and security
  • The apprentice will strive to maintain the quality of services within the practice
  • The apprentice will support the equality and diversity and rights of patients, carers and colleagues.
  • This role involves shift work which means you will be working one of three 8 hour shifts between the hours of 8am - 6.30pm


Skills required:

  • Good interpersonal skills, having an interest in working with people
  • Understanding of confidentiality
  • Good organisational skills
  • Can prioritise work load
  • Confidence to answer the telephone in a professional manner
  • Understanding of basic medical terms would be an advantage
  • Computer literate
  • Ability to work on own initiative and as part of a team
  • Good spoken and written communication skills
  • Commitment to high quality patient care, customer service and efficiency in all aspects of the Surgery’s operations
  • Evidenced commitment to equality and diversity would be an advantage

Qualifications required:

  • GCSE qualification (or equivalent) in English and Maths at grade A*-C / 4-9 is preferred
