The job holder is responsible for projecting a highly professional image (including dress code and personal appearance), in communications and approach to delivering the day-to-day front line service and supporting operational activities within a busy Management Training and Conference Centre.

PETA Ltd is a registered charity which is run by employers. The company was established in 1970 and has 3 sites; Engineering Training Centre in Havant, Business Training Centre in Central Portsmouth and our Management Training and Conference Centre which also houses our Lift Truck Training Centre and the IT Training Centre and is located just outside of Portsmouth in Cosham.

Duties will include:

  • Reception duties
  • Call handling
  • Hospitality (refreshments and catering support)
  • Setting up lecture room (layout and equipment)
  • Photocopying and binding of courseware
  • Data entry (course bookings/certificates)
  • Administrative support to service delivery

Major tasks:

  • Provide the ‘front of house’ daily reception service to delegates, tutors, visitors and service providers to the facility.
  • First line telephone response service; receive incoming calls, take messages, transfer calls.
  • Responsible for setting up of the Dining facility, Conference and Training rooms including preparing refreshments and cleaning of equipment.
  • Daily lecture rooms preparation; layout of room, clean whiteboards, replenish flip charts/pens/ pencils, clear glasses, replenish water coolers, set up multimedia and whiteboard equipment.
  • Maintain the appearance of lecture rooms and public areas; conduct weekly maintenance and cleaning checks reporting concerns to the Senior Admin Assistant.
  • Maintain spreadsheets related to trends analysis; room utilisation, cleaner time and attendance, lunch menus.
  • Liaise with the catering team regarding daily delegate numbers and/or special dietary requirements for lunches as required.
  • Work closely with the Management and General Training, Health & Safety and ICT Training Admin support team to prepare course materials (photocopying and binding courseware as required).
  • Maintain stock and orders consumables for the Centre (tea, coffee, biscuits etc.).
  • Carry out administrative tasks related to course delivery and conference Centre room hires (course bookings, certificates, joining instructions etc.).
  • Carry out supportive administrative tasks as designated by the Senior Admin Assistant with regard to  ICT courses and Government funded programme delivery.

 Qualifications required:

  • 5 GCSE’s grade A*-C including English and Maths preferred
