Duties will include:

To assist within the business administration function across the company including Reception and Fleet Administration, Quality Assurance, ISO, Health and Safety, Facilities, and Data Entry.

Reception and Fleet Administration

  • Answer, screen and direct all external telephone calls – taking messages if required and forwarding onto relevant person. Provide relevant information to callers.
  • Meet and greet all visitors ensuring they are booked in and are issued with a name badge.
  • Monitor visitor access and maintain security awareness.
  • Assist in the fleet administration including that of congestion charge payment, driver’s declaration and drivers licence, arranging service and repairs, hire cars, courtesy cars and mileage.
  • Maintain and ensure any stock requests are actioned and the boardroom is maintained ready for important/external visitors i.e. clean & tidy, sufficient cups, saucers, glasses and coffee is prepared. Order lunches in for specific meetings as and when required.

ISO and Quality Assurance

  • Assist in hosting audits and surveillance from customers and notified bodies.
  • Assist in carrying out internal audits with focus on business improvements.
  • Assist in the review of supplier applications and ensure supplier certification and accreditation are updated and correct.
  • Assist in the issuing and monitoring of Customer satisfaction surveys.
  • Assist in the professional completion of pre-qualification questionnaires in line with relevant deadlines set by our suppliers/customers.
  • Assisting with RFI’s (Requests for Information) and similar if required.
  • Update all customers/suppliers with relevant certification/accreditation upon renewal on an annual basis

Health and Safety Facilities

  • Assist in recording all training and update records accordingly.
  • Assist in the arranging and recording of building maintenance i.e. boiler servicing, air conditioning servicing, equipment servicing, fork lifts, pallet trucks etc.
  • Assist in hosting audits and surveillance from customers and notified bodies.
  • Assist in maintaining the CRM software (Clik).
  • Maintain and record employee qualifications.
  • Any other duties and tasks as directed by your colleagues, line manager, members of the management team and directors.

Other information:

  • During the first 15 months of this new position you will be completing a Business Administration Level 3 Apprenticeship Standard

Skills required:

  • Excellent telephone manner, confident in their approach to people and tasks.
  • IT Literate – competent use of Microsoft Packages (Excel, Word, Outlook).
  • Excellent communication skills (both written and verbal), with all internal and external customers.
  • Excellent organisation and prioritising skills.
  • Excellent timekeeping skills.
  • Multi-tasking skills – ability to carry out a number of tasks to a high quality within time restraints

Qualifications required:

  • GCSE English Grade C/4 and above or equivalent.
  • GCSE ICT Grade C/4 and above or equivalent.
