A wonderful new position has arisen within a global business for an apprentice business administrator with specific emphasis on purchasing, based at their Farlington offices. During this apprenticeship, you will learn the key skills needed to be an effective administrator with a bright future ahead of you within the company.

Duties will include:

To provide the business with excellent procurement and administration support, at an operational level, assist in the driving out of cost wherever possible without compromising the required quality considerations and timescales. To deliver procurement support in-line with Global Marine Groups procurement procedures and to place and expedite purchase orders as well as to load MRP recommendations.  Provide admin support to all areas of the local business including Sales Order Entry, BOM generation, Quality Assurance and Control, Facilities, Health and Safety etc. as required

Key Deliverables during Apprenticeship:

  • Assist the Buyer in a range of bought in goods and services, including but not limited to engineering items, hydraulics, electrical and other ancillary parts to ensure the smooth running of the business, procuring them at the optimum price level given quality and time considerations.
  • Assist in providing commercial admin support to GMSL Portsmouth. To cover work from the bid stage through to implementation, ensuring on time and under budget deliverables.
  • To facilitate the invoicing process including the coding of invoices to the correct overhead cost codes.
  • Develop successful working relationships with internal and external customers from various functional areas, work with internal customers to maintain best procurement practice.
  • Assist in the monitoring, management and generation of reports of the business KPI’s to enable the management team to complete month end reports.
  • Ensuring GMSL Contractual terms and conditions that are current, relevant and applied to all Purchase Orders.
  • Ensure all work is properly organised and communicated within the department and across the business, involving key stakeholders as appropriate.
  • To Support all contract reviews, order intake facilitation and assist in the development of appropriate project plans to ensure the successful delivery of customer orders.
  • Assist in the generation of supplier performance reviews to enable on site and at supplier visits to be completed.

  • Update data on Sage with stock accuracy, part weight and stock location.
  • Set up new parts

  • Raise & Close W/O’s
  • Learn GRN process and invoice matching with accounts payable at

  • Understand WIP reports
  • Expedite orders
  • Create BOM
  • Match Invoices with accounts
  • Stock check introduce monthly cycle counts
  • Contract review – Review data accuracy and current stock position
  • Maintain facilities folder with live information
  • Learn dispatch process
  • Learn booking in process
  • Learn Sales order entry Process
  • Review and amend for controlling
  • Shelf life parts
  • Hazardous waste documentation
  • COSHH
  • Look at matching S/O and W/O numbers
  • Sage/CIM maintain as required
  • Assist In ensuring all H&S activities are completed and recorded – Look at folder behind LT and update accordingly
  • Maintain stationary stores
  • Maintain all Kanban stock
  • Planning to ensure orders are placed in a timely fashion
  • Maintain Max/Min and ROQ

Other information:

The following skills are expected to be developed over the course of the apprenticeship:

  • Basic understanding of the procurement/planning process within an Engineering or manufacturing environment at apprenticeship level.
  • Gain an excellent understanding of Sage manufacturing computer software or similar MRP based systems.
  • Ability to deliver personal KPI targets.
  • Gain an understanding of MRP planning & Inventory value/control.
  • Gain an understanding of lean manufacturing concepts and drawings
  • Gain an understanding of Health & Safety.

During the first 15 months you will be working towards:

  • Business Administrator Apprenticeship Standard Level 3

Skills required:

  • Excellent negotiation and interpersonal skills and the ability to work on own initiative when required.
  • Ability to influence at all levels within the site organisation.
  • Good working knowledge of all ‘Microsoft’ applications: particularly Word, Excel and Outlook.
  • Should be a good team player that is flexible and can function well under pressure.

Personal qualities:

  • Technical Interest is desirable but not essential
  • Good verbal / written communication skills

Qualifications required:

  • GCSE or equivalent in English and Maths grade A*-C (9-4) is desirable but not essential
