The Managing Director of IBHS is committed to the growth of the business and has identified that he and the business would reap positive performance benefits from recruiting an Apprentice Business Administrator to join the team. The successful candidate will benefit from learning and gaining key skills and knowledge from the current workforce, most of whom are long standing team members of IBHS Limited.

Duties will include:

  • Dealing with Proof of Deliveries from UK Carrier, Courier and transport providers to ensure consignments arrive safely and on time.
  • Dealing with late or delayed consignments. Liaising with Carriers & Customers.
  • Parcel Tracking on carrier websites.
  • Data entry by posting POD details on our system
  • Booking of pallet freight collections.
  • Customer invoicing/sales order processing...copy invoices in tray matching to packing note and other correspondence in pack. Fold and envelope invoices matching multiple copies in same envelope. Post via franking machine once you have determined correct postage. Look out for EEC and international.
  • File copy invoice pack alphabetically in fling room determining correct place to file from information on invoice.
  • Make up new customer files as required and keep neat and tidy.
  • Maintain all filing keeping neat and tidy making up new & replacement files as required.
  • Filing of customer order confirmation orders after approval.
  • Emailing of customers invoices & statements.
  • Filing of quotes and maintain quote files, making up new folder as required.
  • Liaising with suppliers and dealing delayed deliveries.
  • Assist with posting out customer monthly statements.
  • Dealing with post, franking mail to go out.
  • Produce warehouse bin/rack labels to templates provided.
  • Answering the telephone and distributing calls professionally and swiftly.
  • Covering and assisting other staff when absent or on holiday.
  • Keeping accurate records and filing.
  • Making up and distributing our catalogues.
  • Making & printing stock cards from template.
  • Making & printing warehouse labels from template.

Other responsibilities:

  • Taking calls relating to late and failed parcel deliveries
  • Dealing with customer queries over parcel deliveries.
  • Arranging third party collections.
  • Booking pallet freight consignments.
  •  

The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organisation and the overall business objectives of the organisation.

Other information:

  • The company is based in a remote location with limited transport links.
  • Throughout the duration of the Apprenticeship you will be required to the PETA training centre in Cosham for off-the- job training. 
  • The majority of training will be completed with your employer at your place of work.
    • Business Administration Apprenticeship Standard Level 3
    • Functional Skills in English and Maths if required
