An Apprenticeship which develops in all areas of business and office activities. This job role will support in areas of administration and daily office co-ordination.

Provide general office support to fee earners and Directors within the Non-
Contentious team (Conveyancing, Wills & Probate)

Duties will include:

  • Providing administration support to the Non-Contentious Team;
  • Provide quotes for clients and follow-up with relevant paperwork and phone calls;
  • Undertake administrative duties including typing, appointment management, taking and passing on messages;
  • Meeting clients to take ID / paperwork;
  • Use of digital dictation system to undertake timely and accurate audio typing;
  • Completion of relevant department forms including searches;
  • Open conveyancing files using in-house software;
  • Undertake photocopying as and when required;
  • Proactively communicate in writing and in person on administration and routine matters.
  • Assist in the opening and closing of files as and when necessary;
  • Ensure that all enquiries are responded to in a timely manner.
  • To produce hard documents by using the WP and DPS system.
  • To ensure that all filing is up to date.
  • Cover reception as and when required.
  • Organisation of workload, files, dictation, telephone and faxes.
  • Attend department meetings.
  • Undertake relevant internal and external training where required.
  • Comply with Law Society/ Lexcel standards/office manual/contract of employment.
  • Ensure working area is tidy and ensure that files are put away after use.
  • Assist with any typing backlog in other departments as and when necessary

 

Skills required:

  • Excellent administration skills and attention to detail;
  • Excellent telephone manner together with good listening skills;
  • Use of Microsoft Office;
  • Ability to liaise with people at all levels;
  • Able to prioritise workloads in a changing environment;
  • Able to work as part of a team with a flexible but organised approach to completing tasks;
  • 4 GCSE’s (A – C) or equivalent including Maths and English;
