An exciting opportunity for an Apprentice Receptionist/Administrator has arisen based in the Occupational Health department of The Drayton Surgery. If you would like to start your career within the medical sector then this vacancy is for you.

We have a team of highly reputed Occupational Health Physicians in our health clinic, with experience in almost every sector of industry including transport, marine, hospitality, emergency services, education and the civil service. We also have Occupational Health Nurses available, as well as full administrative support.

Duties will include:

The purpose of the role is to:

  • Offer general assistance to the Occupational Health team and project a positive and friendly image to clients and other visitors, either in person or via the telephone
  • Receive, assist and direct clients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
  • Undertake a variety of administrative duties to assist in the smooth running of the OH service including the provision of secretarial and clerical support to clinical staff and other members of the Occupational Health team
  • Facilitate effective communication between clients, members the Occupational Health team, and other associated healthcare agencies


Duties and Responsibilities:

The duties and responsibilities to be undertaken by members of the administration team may include any or all of the items in the following list.  Duties may be varied from time to time under the direction of the Occupational Health Office Manager, dependent on current and evolving workload and staffing levels:

  • Maintaining and monitoring the appointments system
  • Processing requests for appointments, and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail
  • Scanning of incoming correspondence as and when required
  • Producing letters and reports as directed by other members of the OH team
  • Coding of data in accordance with protocols
  • Assisting in the production of audits and reports for clients and for use internally
  • Taking messages and passing on information accurately
  • Filing and retrieving paperwork – both electronically and in paper format
  • Computer data entry/data allocation and collation; processing and recording information in accordance with defined procedures
  • Initiating contact with and responding to requests from clients, other team members and associated healthcare agencies and providers
  • Providing clerical assistance as required from time to time, including word/data processing, filing, photocopying and scanning
  • Assisting the clinical staff with data entry at clinic sessions as necessary
  • Provision of refreshments for staff and visitors as required; keeping the kitchen area clean and tidy

Skills required:

  • Audio typing/keyboard skills essential.
  • Knowledge of Microsoft Word, Excel, Access etc preferred
  • Accuracy to detail is extremely important
  • Work to the practice's confidentiality procedure
  • Communicate effectively with other team members
  • Communicate effectively with patients and all other customers
  • Recognise people’s needs for alternative methods of communication and respond accordingly.

Qualifications required:

  • GCSE’s 9-4 grades in English and Maths
