This is an exciting opportunity to work as a Medical Receptionist within a professional and growing medical centre based in Portsmouth. Responsible to the Practice Manager you act as a point of contact for patients and act as a focal point of communication between patients, members of the team, and other agencies

Duties will include:

  • Uphold the confidentiality of all patients when contacting the surgery.
  • Accurately record all computerised appointments by using practice’s appointment templates.
  • Ensure that all patients are given an appropriate appointment with either the Doctor, Nurse, Practitioner or Triage Doctor/Nurse.  In case of an emergency comply with the protocols set down by the practice.
  • Register all new patients using the protocols set down – ensuring the correct completion of the appropriate form. 
  • Ensure that a HEALTH CHECK appointment is given if the patient makes you aware of an existing medical condition
  • Ensure that the patient receives a Practice Leaflet, Practice Business card etc.
  • Follow the protocols for all temporary residents.
  • Enter requests for visits in the Visit Diary and enter all messages into the   Message diary, both can be found on doctor’s post tray sideboard.
  • In conjunction with Practice protocol ensure that all prescription requests for repeat and acute medications are dealt with by the appropriate persons.
  • Action requests for ambulance and hospital car transportation, complete appropriate on-line form and enter all information onto the patient’s computer medical record.
  • Ensure that all outstanding messages and work is passed onto another member of staff before the end of your working day.
  • Ensure that all records are accurately filed in strict alphabetical order Surname and forename.
  • To complete all workflow tasks forwarded from doctors/nurses and colleagues.
  • Ensure that all correspondence, reports, results, etc. are accurately scanned electronically into the correct patient’s medical record.
  • Ensure that records are kept neat and tidy and in good repair, with all necessary information recorded correctly on the outer cover.
  • Ensure when summarising a patient’s paper records onto the practice’s clinical software system, that you follow the practice protocol and read codes.
  • Ensure that the consulting rooms are prepared in readiness for each consulting session, putting post and prescriptions in appropriate place, replacing couch roll on couch if required, turn on computer and open blinds.
  • Ensure that the consultation rooms are checked at the end of each day, couch roll replaced if required, all blinds closed, computer shut down, left tidy, secure and door locked
  • Receive and make telephone calls as required.  Divert calls and take messages as appropriate.
  • Ensure that the system is operational at the beginning of each day and switched over to the Night Service and answer phone operational at the end of the day.

Skills required:

  • Audio typing/keyboard skills essential.
  • Knowledge of Microsoft Word, Excel, Access etc preferred
  • Accuracy to detail is extremely important
  • Work to the practice's confidentiality procedure
  • Communicate effectively with other team members
  • Communicate effectively with patients and all other customers

Personal qualities:

  • Recognise people’s needs for alternative methods of communication and respond accordingly.

Qualifications required:

  • GCSE’s 9-4 grades in English and Maths
